Following my first essential guide of building a change plan, I wanted to share the second - the sponsor plan next. A sponsor plan is a living document that evolves as the project progresses. Regularly revisiting and adjusting the plan ensures that the sponsor remains engaged and the project stays on track. I'm sharing a three step guide on how to build a sponsor plan, what to include, and the key questions to ask your sponsor along the way.

Step 1: Sponsor Role

What to Include:

  • The sponsor's role in the change initiative

  • Their level of commitment (time required per week, type of decisions you expect them to make, type of guidance needed)

  • Their importance in being active and visible

Questions to Ask Your Sponsor:

  • What level of involvement do you see yourself having in this initiative?

  • How comfortable are you with being the face of this change?

  • What resources and support will you need to fulfill your role effectively?

Step 2: Sponsor Alignment

What to Include:

  • The sponsor's vision for the change

  • A list of competing priorities that may disrupt the success of the change

  • Their key contacts (within and above their cohort) that you need to know about and keep informed/engaged

Questions to Ask:

  • What are the key outcomes you expect from this change?

  • How does this initiative align with our overall business strategy?

  • Are there any areas we should specifically avoid or focus on?

Step 3: Sponsor Engagement

What to Include:

  • Plan for regular communication between the sponsor and stakeholders.

  • Identify key messages and communication channels.

  • Schedule regular updates and feedback sessions.

Questions to Ask:

  • How often would you like to receive updates on the project’s progress?

  • What are the best channels for communicating with you ?

  • Are there any specific messages you want to convey to the team?

The relationship between a change manager and the sponsor is pivotal to the success of any change initiative. It’s built on a foundation of trust, clear communication, and mutual respect. The change manager serves as the bridge between the sponsor’s vision and the practical execution of that vision, ensuring alignment at every step.

This partnership thrives on transparency—keeping the sponsor informed and engaged, while also managing their time and energy effectively. Together, they navigate challenges, address resistance, and drive the change forward, making the collaboration not just functional but impactful.
